Booking terms
These terms explain how AirportLink handles quote requests, scheduled rides, luggage expectations, route options, cancellations, timing, safety, and customer responsibilities.
Pre-booked transportation
AirportLink provides pre-booked airport and selected out-of-town transportation.
Trips must be requested in advance and are not considered confirmed until AirportLink accepts the booking request.
Submitting a quote request does not guarantee availability.
Booking information
Customers are responsible for providing accurate pickup, destination, contact, passenger, luggage, flight, and scheduling information.
Incorrect or incomplete information may affect route planning, vehicle suitability, timing, pricing, or service availability.
24-hour booking notice
Booking requests should normally be made at least 24 hours before the requested pickup time.
Short-notice requests may not be available.
Vehicle and luggage
AirportLink currently uses a 2023 Toyota Camry SE sedan.
The vehicle is best suited for solo travelers, couples, small groups, and light-to-moderate airport luggage.
Customers are responsible for accurately describing passenger count, luggage quantity, oversized items, child-seat needs, and special requests before booking.
Oversized luggage or excessive baggage may require another vehicle arrangement or may make the trip unsuitable for AirportLink service.
Passenger safety
Passengers are responsible for complying with seatbelt requirements and applicable laws.
Customers are responsible for providing any required child seats or booster seats unless otherwise arranged in advance.
Quotes and pricing
Quotes are based on the information provided at the time of the request.
Pricing may consider:
- pickup and destination
- distance and route
- scheduled pickup time
- optional stops
- airport pickup conditions
- traffic expectations
- vehicle suitability
- toll-route preferences
Final pricing or availability may change if the actual trip differs from the original booking details.
Optional stops
Optional stops should be included before requesting a quote so they can be considered in route planning and pricing.
Additional stops requested during the trip may require approval and may result in additional charges or schedule adjustments.
407 ETR and toll routes
If the customer selects the 407 ETR option, estimated toll charges may be added where applicable.
Toll amounts may vary depending on route, time of day, transponder conditions, toll-system changes, and other operational factors.
Pearson Airport pickup fee
Pearson Airport may charge a separate pre-arranged commercial pickup fee. Where applicable, this airport access fee may be added separately from AirportLink's trip fare.
Airport access fees are set by the airport or relevant authority and are not retained by AirportLink.
Traffic, weather, and delays
AirportLink plans trips with reliability in mind, but travel times may be affected by:
- traffic congestion
- weather conditions
- road closures
- construction
- airport congestion
- public events
- emergencies
- other conditions outside the driver’s control
Estimated travel times are planning estimates and should not be treated as guarantees.
Waiting time and passenger readiness
Passengers should be ready at the confirmed pickup time and remain reachable by phone.
Extra waiting time, major delays, unexpected stops, or route changes may affect scheduling or pricing.
If a passenger cannot locate the driver or vehicle, the passenger should contact AirportLink before leaving the pickup location.
Airport pickups
Airport pickup timing may depend on:
- flight delays
- baggage delays
- customs delays
- airport traffic
- terminal changes
- commercial pickup procedures
Customers should provide accurate flight and terminal information whenever available.
Cancellations and changes
Cancellation and change requests should be made as early as possible.
Because AirportLink operates with scheduled time buffers and limited availability, late cancellations may affect scheduling and may be subject to reasonable charges depending on timing and circumstances.
Airport pickups, long-distance trips, holidays, and heavily booked periods may require stricter cancellation handling.
No-shows
A no-show may occur if the passenger:
- cannot be reached
- is not present at pickup
- provides incorrect pickup details
- leaves without contacting AirportLink
No-shows may be subject to full or partial trip charges depending on the circumstances and booking arrangement.
Payment
Payment details will be provided before final booking confirmation.
Online payments may later be processed through third-party providers such as Stripe or Square.
AirportLink does not store full credit card numbers on its own servers.
Safety and conduct
AirportLink may refuse, cancel, or end service if a trip becomes:
- unsafe
- abusive
- unlawful
- disruptive
- impractical
- inconsistent with booking details
Dash camera notice
Trips may be recorded by onboard dash camera with audio and video for:
- safety
- security
- incident review
- dispute protection
Service availability
AirportLink is a scheduled transportation service with limited availability.
Availability may be limited during busy periods, holidays, airport disruptions, severe weather, or existing scheduling commitments.
Future booking systems
AirportLink may later use a secure booking backend and administrative dashboard to:
- receive quote requests
- store booking details
- send confirmation emails
- manage trip status
- support scheduling and operations
